What is a virtual assistant?

A virtual assistant, or VA, is the secret to running a successful & scalable business without the hassle: a flexible, experienced  professional who handles your essential but tedious tasks from the comfort of their own home office… or anywhere they want to be!

No need for the recruitment costs, holiday pay, sick pay, insurance or admin involved in employing a permanent member of staff – a VA works for you when you want, in the way you want.

What does a virtual assistant do?

What does a virtual assistant NOT do?! Think of a VA as your own personal assistant or office administrator who just happens to work remotely.

Let’s face it, whatever business you’re in, there are aspects of your day-to-day working life that you could do without. How can a VA help my start-up business?

If you’re starting a new business, you’ll want to get things up and running quickly so you can get on with making a profit! Business is all about people, so this means investing a LOT of time networking, meeting potential customers, and connecting with people who want what you’re offering.

What is a clarity meeting?

A strategy meeting is a 60-minute consultation – via an easy-to-use app called Zoom (a bit like Skype or FaceTime) – to discuss where your business is now, where you want to be, and the blocks that are stopping you getting there. These meetings help us work together to develop a plan that will help you reach your destination and achieve your business goals.

What hours do you work?

My core hours are 9am to 9pm, Monday to Friday. I’m always willing to work outside these hours if you’ve something special happening – just ask!

What tools do you use to help businesses like mine?

I rely on technology to keep in touch with my clients and to make their lives easier. I love Dropbox & Google Drive for file sharing, I use Zoom for video communication and can recommend all sorts of brilliantly simple and effective apps that can make your life easier.

So you use technology that’s specific to your business? That’s good, too – I’m more than happy to work with your preferred software or application, from cloud-based accounting and email marketing systems to CRM systems.

How do we share files?

I’ll set up a folder in Dropbox that we can use to share files and work in real time on the same documents. Dropbox works like a normal server, but stored securely in the cloud. No need to email back and forth, and no chance of duplicating documents.

But, if you have your preferred cloud based storage, we can use that if you prefer

Will you sign a confidentiality agreement?

Of course! My business relies on confidentiality, and my clients know they can trust me with even the most sensitive business matters.

For peace of mind, I’m happy to sign any non-disclosure or confidentiality agreements, and can provide written proof that I have no criminal convictions if you need it.

How can I share my email inbox with you?

Simple! I’ll just set up a copy of your email account on my desktop, and manage it from there. If you use a cloud-based email provider such as Office 365 or Gmail I’ll log in to your account whenever I need to.

How often will you invoice me?

If you purchase a pre-paid package, or become a retained client, you’ll receive an invoice at the start of each month. You’ll need to pay for the hours you need in advance. The easiest way to do this is to set up a direct debit using Go Cardless, but you can pay by BACS if you prefer. All I ask is that the money reaches my account before I start working with you.

How can I pay you?

If you choose to buy a fixed number of hours each month – or to sign a regular retainer agreement – standing order is the easiest way to pay. Simply set up the payment with your bank and know your monthly invoice will be paid on time, every time.

If you want a more flexible arrangement – and think you may use more hours one month than the next, for example – BACS transfer is best.

What are your payment terms?

My payment terms are strictly seven days. After that, you may incur late payment fees.
